Schedule: Monday – Friday, 8am – 5pm, EST
Salary Range: $30,000 to $40,000 annually (Compensation is based on experience, skill set, and education.)

Plays a key role in supporting Vigilant’s Operations team by accurately entering, reviewing, and maintaining RMA and import‑related data. This position ensures that shipment documentation, return information, and client records are processed with precision, timeliness, and compliance. The ideal candidate is detail‑oriented, organized, and comfortable working independently in a fast‑paced, remote environment. Candidates with strong administrative skills and familiarity with invoices or basic U.S. import processes are encouraged to apply. Primary Job Responsibilities:
- RMA Data Entry — Enter, update, and maintain RMA data across internal systems and Excel‑based logs.
- Import Document Review — Review import documents for accuracy, completeness, and compliance; identify discrepancies or red flags.
- Shared Inbox Management — Organize, categorize, search, and respond to emails related to active shipments and RMA activity.
- Excel Log Maintenance — Work within complex Excel logs containing filters, formulas, and conditional formatting.
- Shipment Coordination — Support tracking of active shipments and ensure timely movement of required documentation.
- Cross‑Functional Collaboration — Communicate effectively with Vigilant staff, partners, and clients to resolve issues and maintain workflow continuity.
- Quality & Compliance — Ensure all data entry and documentation meet internal standards and client requirements.
- Proactive Issue Resolution — Identify potential problems early and pursue solutions aligned with company values.
Required Knowledge, Skills and Experience:
- Bachelor’s Degree preferred in Business or related field.
- Data entry or administrative experience preferred
- Familiarity with invoices and general U.S. customs clearance processes helpful.
- Experience reviewing import documents and identifying discrepancies.
- Proficiency with Microsoft Office products including, but not limited to Outlook, Excel, Word, and SharePoint.
- Ability to work within complex Excel logs (filters, formulas, conditional formatting).
- Comfortable working in a shared inbox environment (sorting, categorizing, moving emails).
- Strong attention to detail skills.
- Ability to work independently with minimal supervision and collaboratively with teams.
- Excellent analytical and organizational skills with the ability to perform the day-to-day account activities independently with minimal supervision.
- Must be able to organize and prioritize work in a dynamic and complex environment to meet deadlines and daily requirements.
- Ability to communicate (verbally and written) effectively with clients, coworkers and senior leadership.
- Ability to work effectively with teams of staff from Vigilant, partners, and clients.
